How To Organize Environment Friendly Meetings
June 15th, 2009 by admin

Organizing meetings that are easy on the planet is the new trend in the meeting planning industry. If we look at the way meetings were arranged in the past, environmentalists are sure to cringe with annoyance. Planning an event usually means using a lot of paper- in the form of invitation cards, pamphlets and other meeting related documents. However thanks to modern technology, meetings no longer need to use the earth’s resources and can make do with technological or online resources that lead to a greener and healthier planet.

Here are some ways in which you can plan a green meeting:

Go digital

Digital is the buzzword for environmental friendly meeting planners. Starting from the registration of attendees up to providing important documents for an event such as a conference, you can go digital. Online registration forms make excellent eco-friendly tools to register event attendees. It also saves you the trouble of having to send invitation cards to each and every attendee. That way, you not just save the planet’s resources, but also time, power, and energy.

Look for environmental friendly sponsors

While organizing your meetings, try and find environmental friendly companies to sponsor the event. This will lend your meeting that green touch that will in turn enhance its overall look. Any meeting that actively contributes towards the growth of the environment is bound to generate positive attention.

Transportation

Make an estimate of the distance from the home/hotel to the venue for all attendees. This will help you get a clear idea of how much transport will be used for the event. For those who stay far away, you could arrange accommodation somewhere close to the venue. It is highly recommended to use ground transportation as far as possible and try to avoid air travel.

Use recycled paper

It is unavoidable to use paper during meetings. In such cases, it makes sense to use recycled paper. Wherever possible email important documents to the event attendees. If you absolutely have to hand out printed papers, make sure that you print on both sides.
