As a meeting planner, you are concerned with so many things that it can be easy to overlook the smaller things. However, one thing you do not want to forget–or eliminate–is how to make your event stay in the minds of participants for a long time. This is not only good for your client, but for you as well. Not only will your client remember the event, he or she will remember the planner who made it so.
Although having the right meals, the right place, the right equipment, the right space, etc., are all crucial components, finding a way to turn the event into a keepsake is also important. Here are some ways to make your event unforgettable.
Candid Photos
Take some candid photographs at the event–or have them taken–and create an album that you can deliver to the client on CD, DVD, or a physical album collection. You could make this a gift to your clients after each event.
Videos
If it is a big event, consider videos. Again, you could create a DVD collection for clients. You might also include films of some of the keynote speakers or other sessions of particular import to the group.
Souvenirs
Sure, someone is probably going to provide little conference bags of plastic key rings, mini Frisbees that don’t fly, dust-collectors, and other things that often warrant filing under “S.” However, you are not limited to that. If your event is in New England, perhaps you could provide a bottle of maple syrup from a local, family-owned producer. You could give meaningful gifts to groups with particular focus, or help them increase their visibility in the community where the event is being held by donating to a cause in the company’s name. When all else fails, try tickets to a comedy club! They may keep the stub to remember it by.
One of the great things about being a meeting planner is that you get to be creative. No doubt you can find ways to make a specific event more memorable for your guests–and if you can, you should.
