Hopi Village Cultural Conference Center
May 3rd, 2010 by admin

Northern Arizona's Hopi Reservation has opened the Moenkopi Legacy Inn & Suites.  This new $13-million hotel and conference center is the largest development ever by a single Hopi Village.

The Hopi  Villages are among the longest continuously inhabited places in North America.  Visit Hopi Villages, meet artists in their home workshops, enjoy unique Hopi food, and meet some of the friendliest people in the world – the Hopi people.

Guided Walking Tours are available in the Villages of Sipaulovi and Walpi where the rich heritage of the Hopi people and village life over the centuries surrounds you.  These tours are available year round to all visitors to Hopi.  For an in depth tour of the Hopi Villages and the opportunity to visit artists (including world renowned Kachina carvers) in their home workshops, take a tour with an authorized Hopi Guide who will explain the culture and heritage of the Hopi people.

The design of the 100 room hotel offers a glimpse of Hopi culture to visitors, and the center plans to educate visitors about their tribe.  The property offers 3,096 sq. ft. of meeting space and three breakout conference rooms.

Site Inspections
Nov 27th, 2009 by admin

Site-inspecitons are essential to planning a successful meeting.   Marriott.com offers a meeting planning checklist that is comprehensive and helpful, including site inspection.  Here are some things to consider when inspecting a site:

  • Virtual tours – don't let distance hold you back.  Many venues offer virtual property tours.
  • Guest rooms – try them out.  Ask to see the different categories of rooms to see the actual differences.
  • Meeting rooms – How will your setup work? What is the distance from the meeting room to banquet facilities, restrooms and guest rooms.
  • Food and beverage – where is the banquet kitchen located?  What is the F&B minimum?
  • Parking facilities – Is there adequate parking if your attendees are driving? Is it secure? What is the cost per day?
  • Safety – Get a copy of the venue's safety plan.  Does it cover all your needs?
  • Security – Are there in-room safes?  Do elevators require key access so that only registered guests can access the lodging floors?
  • A/V - Do they offer the equipment and technology you need for your meeting and for your attendees?  What are the costs?

Do a detailed site inspection to avoid surprises.

Meeting and Event Meals on a Budget
Nov 23rd, 2009 by admin

Meeting and event planning this year has been a challenge, due to the low or nearly non-existent budgets. With many corporations in saving mode, it comes as no great surprise that the event planning industry too has cut down heavily on unnecessary expenditure. The days of extravagant meals and rich cuisine have been replaced by a much more economical plate full of health-conscious food that causes less heart burn- both physically and fiscally.

Event planners are no longer focused on the status of a banquet rich with off season fruits or vegetables flown in from exotic countries. The new idea is to simply get it right, and get it right on the lowest cost. However, don’t get it wrong – cost cutting does not have to equate to low grade or below average. In fact the new concept of serving food at meetings and events never looked so healthy before. A platter full of assorted meals that are beautifully presented is what you are looking for. The food menu in most events these days might be missing some of the excessively rich dishes that were offered in previous years, however it tastes just as good.

Thanks to the smart work of some intelligent event caterers, a whole new look has been introduced to food items in corporate events. Eating smart and spending smart seems to be the new motto of the event planning industry in the midst of an economic crisis. A good example of one of these innovative event meals is a beautiful set of small sized glasses neatly arranged in a row with small servings of dessert in them. This is definitely not “just” cost cutting, it is indeed “stylish” cost cutting that rather pleases the eye. This concept of serving healthy and economical food is also good for the environment as food does not go waste. A few years back, event meals used to be so lavish and extravagant that half of the food would go wasted.

Fortunately, these days most corporate groups are realizing the value of food, encouraging event meals that are high on nutrition and low on costs. The modern consumer has also turned health conscious and avoids eating too many meals in conferences and other kinds of corporate events. Healthy meals offered in small quantities seem to be gaining popular ground in the event planning industry.

These are all things to consider when planning your upcoming holiday events.

Understanding Your Market Segment
Nov 20th, 2009 by admin

Although you are a meeting or event planner, that term really does not encompass everything you do. On the other hand, what you do is likely so specialized that you have placed your specialty in front of your general job description, like “Wedding Planner,” or “International Events Planner.” While this is a very common thing to do, understanding the market segment may not be so common–this understand, though, could help you expand your business into other areas of your segment.

For instance, if you are a wedding planner, your general area of influence is wide. The event is really a large celebration, so celebrations is more your all-encompassing job description even though you mostly plan weddings. This can help you in times like the last year, when weddings have taken a back seat to elopements due to the recession.

A wedding planner who did not take advantage of other kinds of needs over the last year has suffered greatly. Those who added cultural coming-of-age celebrations, graduation parties, and even political events fared well. Every segment of the meeting planning business can overlap into others; you can expand your knowledge and experience as well as your customer base in very short time.

So take a look at your market segment. An event planner can always expand her influence, and should in case of a downturn like we just had (and are still suffering through). Be out there, shake hands, open up your opportunities, and be prepared.
